Marketing Operations Manager

The Marketing Operations Manager plays a key strategic and operational role in managing and optimising marketing workflows, processes, systems, and budget tracking. This individual will lead administrative and operational marketing support across teams, drive efficiency in project execution, and co-ordinate cross-functional efforts between marketing, supply chain, and finance teams. Responsibilities include ownership of end-to-end campaign operations, cost management, supplier co-ordination, and reporting to ensure seamless execution and financial accountability. The ideal candidate is a proactive problem-solver with experience in marketing operations, project management, and a solid understanding of supply chain co-ordination and finance administration within a marketing environment.

Duties and Responsibilities:

  • Leading all marketing operational processes including campaign briefing, execution tracking and post-campaign analysis
  • Overseeing and optimising the use of platforms including Pipefy, Ziflow, Teams and SharePoint for effective project management
  • Ensuring compliance with processes and providing training and support on systems and tools
  • Managing and assigning campaign tasks, monitoring timelines and resolving operational bottlenecks
  • Conducting daily check-ins with team members to prioritise tasks and track progress
  • Scheduling and leading approval meetings with Designers, Copywriters and business stakeholders
  • Compiling and finalising monthly marketing performance and execution reports
  • Co-ordinating data collection from internal stakeholders, third-party agencies and regional teams
  • Developing reporting templates and dashboards to improve campaign visibility and performance monitoring
  • Managing supplier relationships including requesting and reviewing cost estimates, tracking approvals and proofs of delivery
  • Overseeing invoice processing to ensure accurate and timely submissions to the Finance Department
  • Tracking and managing campaign budgets and assisting in budget forecasting and reconciliation
  • Ensuring all cost-related documents and financial records are filed and accessible for audit purposes
  • Co-ordinating with Supply Chain stakeholders to ensure timely booking and return of stock from Service Providers including OpenField
  • Overseeing Delivery Request Forms and working with Sales and Regional Account Management teams for delivery confirmations and issue resolution
  • Monitoring inventory of promotional materials and co-ordinating restocking as required
  • Creating, organising and managing tracked links and QR codes for campaigns using tools including Adjust and QR Code Monkey
  • Maintaining organised file systems on Teams and SharePoint to ensure easy access and version control
  • Overseeing quality review of samples and deliveries, gathering feedback and co-ordinating follow-ups

Minimum Requirements:

  • Bachelor’s Degree in Marketing, Business Administration or Communications
  • A Project Management Certification will be an advantage
  • At least 5 years experience in a marketing operations or marketing projects role
  • Experience leading supplier co-ordination and budget tracking
  • Experience with reporting and cross-functional team collaboration
  • Strong understanding of marketing workflows and project management processes
  • Familiarity with campaign execution tools such as Pipefy, Ziflow, Adjust, QR Code Monkey
  • Knowledge of procurement, supply chain, and finance administration in a marketing context
